Windows Management Experts (WME) is seeking a highly organized and detail-oriented Project Coordinator to support both the Project Management Office (PMO) and Licensing teams.

This role serves as a bridge between delivery, licensing, sales, partners, and customers by helping coordinate projects, manage Block of Hours engagements, track project health and utilization, support customer renewals, and maintain delivery documentation. The Project Coordinator will work closely with Project Managers, Solution Architects, Licensing Specialists, Account Managers, and Leadership to ensure customer engagements are well-managed and operational processes are followed.

This is a junior-to-mid level role within the PMO structure and provides an opportunity to grow into project management and delivery leadership responsibilities over time. This position is based in the Philippines and works closely with U.S.-based customers, partners, and internal teams during Eastern Time business hours.

PMO & Project Coordination

  • Support the PMO with project coordination and administrative activities.
  • Assist with project kickoffs, scheduling, status meetings, and follow-up activities.
  • Track project milestones, action items, deliverables, risks, and escalations.
  • Maintain project documentation, project repositories, and customer records.
  • Ensure projects follow established PMO processes, standards, and documentation requirements.
  • Work closely with Project Managers and Solution Architects to support project delivery.

Block of Hours Management

  • Manage assigned Block of Hours (BOH) customer engagements.
  • Track weekly burn rate and utilization against contracted hours.
  • Prepare regular health reports identifying utilization trends, risks, and opportunities.
  • Coordinate with customers and delivery teams to ensure hours are being used effectively.
  • Monitor remaining balances and assist with renewal discussions when appropriate.
  • Provide monthly communication to each customer on remaining hours and reminders for expiring contracts.

Licensing Customer Success & Renewals

  • Work closely with the Licensing team to proactively manage assigned licensing customers.
  • Track renewal dates and upcoming licensing milestones.
  • Conduct quarterly customer touchpoints ahead of renewals.
  • Coordinate internal discussions regarding renewal opportunities, licensing changes, and service needs.
  • Identify opportunities for additional services, projects, support agreements, or licensing engagements.

Partner-Led Engagements

  • Coordinate projects resulting from partner referrals and partner-led opportunities.
  • Support scheduling, communication, and resource coordination for partner engagements.
  • Assist in maintaining strong relationships between WME, partners, and customers.
  • Ensure partner projects are properly documented and tracked.

Reporting & Operational Support

  • Prepare weekly reporting on:
    • Block of Hours consumption
    • Project health
    • Resource utilization
    • Licensing renewal activities
    • Customer engagement status
  • Track resource hours and assist with forecasting activities.
  • Support continuous improvement of delivery and operational processes.

Required Qualifications

  • Bachelor’s Degree or equivalent experience.
  • 2+ years of experience coordinating or managing technical projects.
  • Understanding of Windows products and Microsoft technologies.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Discipline to follow established processes and procedures.
  • Excellent documentation skills and attention to detail.
  • Ability to adapt and work effectively in a fast-paced environment.
  • Strong organizational and multitasking abilities.
  • Excellent customer communication and relationship management skills.
  • Ability to work effectively within a team environment.

Preferred Qualifications

  • Experience supporting Microsoft 365, Azure, or IT infrastructure projects.
  • Experience with project management and customer success functions.
  • Familiarity with CRM systems, licensing renewals, or managed services environments.
  • Experience supporting professional services organizations.

Success Metrics

  • Accurate tracking and reporting of Block of Hours utilization.
  • Successful quarterly licensing reviews and renewal readiness.
  • Consistent project documentation and PMO process compliance.
  • Effective coordination of partner-led engagements.
  • Strong customer satisfaction and engagement.
  • Timely project updates, reporting, and follow-up activities.
